Do I need to understand all the details about publishing to use your services?

No. We know that the publishing industry might be confusing, especially when there is so much information about it out there. We will guide you step by step through the publishing process, so you don’t need to know everything now. Information about technical details are provided below, if you want to know more, but they are certainly not required to use our services.

What services do you offer?

We offer eBook formatting for Kindle, EPUB and Smashwords, print formatting for Print-On-Demand and regular printing companies including Createspace, Lulu, Lightning Source and cover design services. We also provide help with uploading eBooks and printed book files to retailers and answer all publishing-related questions.

With eBook formatting we create Kindle, EPUB and Smashwords files.

With Print-On-Demand formatting we provide print-ready PDF file.

With cover design services we provide JPG and PDF files. We can provide source Photoshop (PSD) file on request.

What does ‘upload to retailers’ mean?

We can help you upload your book to retailers like Amazon, Createspace, Barnes&Noble and Smashwords.

We are not a distributor, so we don’t charge for this service or take any fee from your royalties. We upload your eBook and PDF files to your account at retailers. You can simply provide us with a temporary password to your account, so we can upload the files for you, and then you can publish it and change your password. All rights and royalties remain with you.

What are prices for your services?

eBook and POD formatting: For novels, prices are flat and can be found on our pricing page. For other types of books, including non-fiction, children's book, tutorials and poetry there is basic price, which can also be found on our pricing page under “non-fiction”. This price is our base price for books other than fiction and may be higher for complex books.

Cover design: We offer our cover design services at a flat-price rate, which can be found on our pricing page. The price includes all design costs, including the licensing of stock photos and fonts.

All services listed under Publishing Assistance are provided free of charge.

How much do you charge upfront?

We offer all our services without an upfront payment. We only ask you for payment when you are 100% satisfied with our services.

What payment methods are accepted? Can I receive invoices for your services?

Currently we accept PayPal payments. It is easy and secure to use, you can use both credit and debit cards, as well as fund your PayPal account with a regular bank transfer. If you live in Europe, we can accept SEPA transfers (in EUR).

If you would like to use other payment methods, please let us know.

We can issue you a PDF invoice for our services, if you wish, so that you can use cost of our services as business expense (if you are sole trader or are owner of the company).

How can I get a quote?

What do you mean by unlimited changes?

After we provide you the eBook and Print-On-Demand PDF files, you might want to change their layouts. Also, sometimes you might spot mistakes in your original manuscript after it was transformed to another format. We do not charge you extra for applying changes to eBooks and PDF files.


What file formats of manuscripts do you accept?

We can accept manuscripts in any file format and we do not require any pre-formatting. When requesting a quote, you can send us a PDF file for a quick quote. Most popular formats that we receive are Microsoft Word (.doc, docx), InDesign (.indd) and PDF files.

When working on formatting, we prefer the following formats, in descending order:

  1. Microsoft Word (.doc, .docx, .wbk)
  2. Open Office or Libre Office (.odt)
  3. Rich Text Format (.rtf)
  4. WordPerfect (.wpd, .wp, .wp7, .wp6, .wp5)
  5. Apple Pages (.pages)
  6. InDesign (.indd)
  7. LaTeX (.tex)
  8. Markdown (.md)
  9. Plain text (.txt)
  10. Quark
  11. PDF

If the file format you have isn’t on this list, feel free to send us whatever file you have. We have never encountered a file format we couldn’t work with.

What files do you create for Smashwords?

Smashwords offers 2 upload options:

  • MS Word 2003 DOC file
  • Custom designed EPUB file (so called Smashwords Direct)

We provide an EPUB Smashwords file for each book, as Smashwords use EPUB 'as is' and hence allows complex layouts common in complex non-fiction books.

A DOC file, on the other hand, is automatically converted by Smashwords to multiple eBook formats including EPUB and Kindle files. This process does not support tables, footnotes, images with captions, complex layouts or other advanced features often required for complex eBooks. Due to this fact, we provide DOC file for Smashwords upon request only when working on novels or simple non-fiction books.

What is a Kindle file?

A Kindle file is a file supported by Amazon Kindle devices and apps. It has a .mobi extension. In fact, that file consists of two formats within it:

  • A format used by older Kindle devices (Kindle 1, Kindle 2, Kindle DX) commonly known as MOBI7
  • KF8 format supported by all others Kindle devices and apps.

KF8 format is richer in features than the old MOBI7. When you upload a .mobi file created by us to Amazon, Amazon will separate the 2 formats and send the correct format to readers, based on what device they are using.

As many readers do not upgrade e-reader devices like Kindle very often it is important to provide support for older formats, which is why we take extra time to customize books for that format. This customization affects only the old MOBI7 format, so your book can use advanced features of newer devices.

What is an EPUB file?

An EPUB file is a file supported by all retailers except Amazon. It can be used to publish your book on Barnes&Noble NookPress platform (formerly known as PubIt!), Apple iBookstore, Smashwords, Kobo and other retailers.

It supports a similar set of features to the KF8 Kindle format.


Do you use automated conversion software?

No. Many less experienced companies and individuals use automated conversion software because they do not require specialist expertise and it helps them save time, hence they are able to provide lower prices. Such tools can introduce unnecessary code to your files, which will cause display issues and may result in book removal from Kindle Store. For the best quality, such tools should not be used for commercial eBook production.

At Formatting Experts, we hand-code each eBook in HTML using a simple text editor, which guarantees the highest quality and greatest level of control over the layout. When we hand-code eBooks in HTML, we can add features that are not possible with automated software, like background color or images, boxes, blockquotes, images with captions and custom fonts.

When it comes to Print-On-Demand formatting we do not use Microsoft Word to create Print-On-Demand ready PDF files, because this software does not provide the required typographical quality. We use a custom process to create PDF files that adhere to best typographical practices.

What is ‘quality guarantee’ with Print-On-Demand formatting?

We guarantee that the PDF file that we provide will look good when printed out by a Print-On-Demand company. If not, we will not only waive our fees, but we will also refund the cost of ordering and shipping your proof copy.
